The University of EDU is a private university that integrates the 21st century Information
Technology and innovative teaching strategies. The university offers over 10 areas of study with
over 2000 students attending from different countries. It receives more than 1500 undergraduate
applications, as well as 10,000 student inquiries each year. This results in a flood of data that the
university must manage properly.
The man in charge of managing all of this is the university's Manager of Enrollment Division.
The Manager and his team of more than 30 staff members act in-part as a hub of information for
the institution, dividing the enrollment and visitor data into two critical sets, and then reporting
on their findings to the university senior management and academic staff. The first set of data
relates to enrollment numbers such as the number of students that have applied to a particular
department (IT, IM, CSN, EE) the number satisfies the entry requirements, and the number of
students that have made payments and are planning to attend. The department uses this data to
project the number of students that it thinks will actually attend so that the department and staff
can prepare to accommodate the incoming students to the department.
The second set of data compiled by the department relates to prospective students who may or
may not have applied, but have done the aptitude test and requested information or scheduled a
campus tour or have signed up for one of the many campus events hosted each month. When
tours are booked or registered for campus events, the department needs to execute a different set
of tasks including creating group schedules (20 per group), sending confirmations to each
student, reporting the number of attendees to each Head of the Department, and alerting other
staff to the groups' presence on campus.
Both reports are compiled and distributed weekly, taking more than four hours of staff time each
day to create and distribute when prepared manually. Now the need has aroused when the
university sought to increase productivity and relieve staff of these entries to focus on their
additional responsibilities.
The Objectives of this project are:
To develop a platform for student enrollments, processing of student’s applications,
directing the application to staff members for validation and authorization in real time.
To implement a notification system to inform on going events to staff and students
To generate necessary reports for the relevant parties to take managerial decisions.
