The CRM has to be customer service oriented and not as much as sales oriented. We have 4 offices. And all these offices are making sales on a daily basis. As of right now what they do, is when they make a sale they simply either fax or email that to the main office and we process the deals by at the main office. Once the deals are processed we save that on an Excel and have that available to the customer service team. Which, not to mention is a very hectic process and since we are growing we need to have a more solid solution for this issue. What we're looking forward to do is to create a CRM system which is cloud-based or I can get it on a in house server if it cost-effective and its easier to maintain. Every sales office would have a username and a password to login to the server. Let's say sales office number "1" gets a deal under the name of John Smith. When John Smith is sold, sales office number one would log into the server using their username and password, the field for all John Smith information such as name phone number address, card number, type of package that they bought, price, EXP date etc would pop up. As soon as they fill out all the information they will submit John Smith information and it will be available to the "main office" in real time. Main office will process John Smith information and once john Smiths information are all processed the main office will update John Smith as an successful client. As soon as john smith becomes successful client, he will be visible by the sales office number one that it has been processed and its successful so the sales office can count that as a deal on their sales board. From this point John Smiths information will be available to the shipping Department. The shipping department will have their own username and password and once they log in they will be able to see under their (activities or pending tasks on the dashboard) that John Smith needs to receive a new package based on what he bought. After shipping Department sends out their package John's information will simply be saved on the main database where it can be accessed by the customer service team. When John Smith contacts the customer service, the customer service team should be able to access John Smiths information by simply search with his last name, with his member ID, or with his phone number. As sales office number one made the sale they will have the privilege to edit John Smiths information before it's processed by the main office. However it will not be accessible by office number two, three and so on and so forth. The main office should have the power to pull up reports to check which office producing more deals and basic reporting accessibility such as batch reports (more like on a dashboard). Each customer service agent login, along with the shipping, processing, and the verification login should have activities button where their pending tasks will be saved. Once the task is completed they will be able to edit it and save it and all these information will be saved in a central database where only one or two login would have the full access. There should not be any limitation on users and all users can be managed my the admin. There has to be a limited accessibility for each one of the login for customer service or for main office. Such as the customer service rep should not have the access to the whole credit card number for the client. They will the access to the last four digits, stuff like that. Every office should be able to see their daily or weekly production etc.

It is not a big deal to implement this. It looks more like a process tracking system to me, just with a lot more information per record. It is safer and cheaper to host in a data-center.

Hi there, I have read Project Description & fully understood the requirements, I do not see any technically hurdles, as everything is explained very well but your budget is very low, so would you be flexible in it?
