Preferably US-based Position: Executive Assistant Reports to: President Role As an Executive Assistant, you are responsible for growing the systems of our organization and assisting with building up a motivated team of True Believers that will help us achieve our company goals. You are also responsible for the operational management of our organization including the implementation of our communications cadence, targeted interactions, and operational systems. Responsibilities Client-centric mission - reinforce the client-centric mission with our team so that we make certain that we are moving towards our long-term outcomes. Company tenets - work with the team to reinforce the company tenets so that they are used in decision-making in all departments. Recruiting and retention - recruit game-changing team members and put in place operational systems that ensure they stay with us for the long term. People leadership - apply company systems throughout our organization and reinforce transformational leadership in our organization and create systems so every person knows what their outcomes are, what they are accountable for and what their scoreboard is (outcome, accountability, and transparency). Events - create the systems and processes for our company events so that they are executed at the highest level; manage event planning and relationships with event partners and clients Company Cadence - scheduling and holding all targeted interactions with our team and with individual departments as needed throughout the year. Manage the relationship with our outsourced accounting company to ensure that we continue to have up-to-date and accurate bookkeeping. Ensure all inbound invoices get approved for payment and payment is received for all outbound invoices. Manage the communication and projects with our legal partners to ensure we are protected from any legal liabilities. Drive and manage the tactical delivery of ongoing projects in the company deliverables for all company initiatives and report back to the CEO and team. Support the CEO in executing her vision and growing the business. Manages CEO's Weekly Commitment List. Managing CEO's calendar and productivity, travel, scheduling, and logistics. Manage CEO's inbox and social messages, and debrief daily what she needs to handle. Managing the creation, implementation, and support for all HR policies, processes, and documentation. Project handoffs; once created, facilitating the implementation and management of said projects. Helping CEO complete the items on her personal waterfall & perfect day. Support sales process reporting and attend/review sales calls with the CEO and generate proposals to send to the client. Results We follow our company cadence and all of the targeted interactions Each member of our team has a clear outcome, knows their scoreboard, and understands what they are accountable for (outcome, transparency, and accountability). We have an engaged team of True Believers that are excited about our company direction and committed to achieving our Client Centric Mission. We practice transformational leadership in our organization and allow people to understand what they are truly capable of. The projects we commit to are completed on time and create the desired outcome for our company and our clients. Our company events are world class and protect our members in a way that they have never experienced. Proposals are professional and delivered quickly to drive closing sales. Payments from clients are collected in a timely manner. We use the minimum effective dose systems and platforms in order to get the greatest results. The foundation of our company, accounting, finance, taxes, and legal are up-to-date and accurate.
