Please review the information and please let me know what questions you have. I realize that I’m increasing the scope – but I’m not done increasing the scope.
By the time we’re ‘done’ I want a CSC ribbon in Outlook and in Word.
There are four big pieces:
1) NPD form in Outlook
a. Need to be able to create an addendum for a project.
b. Need to be able to edit the information in the NPD or the A1, A2.. etc.. Since we’ll be using these tools to ‘look at’ and ‘change’ the database. We can’t show the NPD email to the user before sending. The NPD needs to lock and then asks the user to ‘verify’ and then do everything from there. That way the email is a true picture of what is in the database and not an ‘edited’ version of ‘loose’ data.
c. What happens when someone sets up a project when they are offline? Can the NPD be timestamped so that when it goes to sync with Sharepoint, it will auto-increment to the appropriate job number. The POs will need to do the same thing.
2) Timesheet for all employees – should calculate the schedule of each employee and also their billable ratio (performance).
a. This is a completely new project.
b. I want to be able to see and edit the task organization of the company through the scheduling chart.
3) Automated forms for Microsoft Word – basically read the database and create our standard letters using the project information from the database. This will be in Word and there will be a form where the user can build our standard submittals and then the program will build the Word document.

4) Project reference / lookup tool.
a. I want to add a section to the NPD that creates a code or something that tells what kind of project each one is. For instance, we set up a project that consist of Engineering Stair and Handrails with Glass and Stainless Steel. If we get another project like that in 2 years. The Design engineer (who doesn’t ask about previous projects) starts his/her outlook, gets notified that they have been assigned a new project via the sync tool. So they accept the project and the outlook rules that were setup by the NPD creator. The job folder is created in their Outlook Projects folder. And in that same form where they are selecting what they want to ‘import’ on accepting the job, there is a list of jobs that are similar. Since the NPD was set up with all the appropriate data, matching the one from two years ago, it is first on the list. The user gets all of the setup information and they can also click on that job and it will open that file on the project directory so that the designer can review it.
This feature will take some work so that it has the flexibility to be precise, but the simplicity to be functional.
