Charcoalblue is the world's leading theatre and acoustics consultancy. We have six studios round the world in London, Bristol, Glasgow, New York, Chicago and Melbourne. We are looking for a bright, well organised self-starting Admin Assistant to provide general support to our busy administration team for around the next three months. You will be covering all manner of general administrative tasks, including diary management, travel booking, ordering supplies, booking couriers and theatre tickets, general ad hoc research tasks, expenses inputting and documentation updates. No day is the same and you should be flexible and open to new tasks, working closely with our friendly admin team. You will have a good working knowledge of Microsfot Office and Adobe and ideally you will have some basic Finance knowledge and basic InDesign experience. We are looking for someone to start w/c 4th May and there may be an opportunity for a longer term role for the right candidate. Administration for theatre or architecture companies would be a huge advantage. You'll be working from home and we'll provide a laptop. Occasional visits to our London or Bristol studio as needed (once open).

Hello, I am based in London and have previously worked as an Executive Assistant for the last three years. I have worked with a variety of businesses from many industries such as a floristry, health and fitness, SaaS, Law to mention a few. My day to day duties were never the same and I had to be flexible, juggling 6 clients and their deadlines at any one time. I have strong experience in the following which makes me a strong candidate for this role; - Personalised inbox and diary management to over 8 inboxes at any one time. - Managing multiple projects from several clients daily - demonstrating discipline, stakeholder management, time keeping and an ability to meet deadlines unfailingly. - Independently organising and managing extensive and complex travel itineraries for up to 20 employees at a time across multiple time zones; processing VISA’s, booking flights and accommodation and arranging travel transfers. - Displaying high attention to detail by processing, creating, crediting and reconciling all invoices through Xero. Chasing overdue invoices when required and solving any discrepancies. - Organising company events from start to finish / working seamlessly with suppliers / vendors. - Personal PA work - booking theatre tickets / family days out / holiday itineraries - Experience using Adobe Creative I would be more than happy to talk over a zoom video call should you wish to hear about my work experience in more detail.
