Hi there,
I'd like to start by introducing Street Worthy Apparel LLC! Understanding how our business works will make it easier to understand the "why" behind this project.
Street Worthy Apparel LLC (as the name implies) is a clothing and accessory retailer. We sell hats, T-shirts, watches, ect. Our main presence is online (we don't have a brick-n-mortar building), however because we are a recent start-up we also do lots of trade shows! To be specific, we do import-car trade shows.
Why, you ask? Well, its because we aren't any other 'ol clothing retailer. Actually to be honest, the product itself is a simple means-to-an-end. What I mean is that we don't primarily exist to sell T-shirts, hats and other things, we exist to give away dream cars!
You heard right! Street Worthy Apparel LLC raffles off an awesome JDM (Japanese Domestic Motor) / Import vehicle about every 4-7 months. The way the raffle (officially called a sweepstakes) process works is quite simple, for every $5.00 USD that a customer might spend on any one of our products they earn 1 (one) sweepstakes entry to win our give-away car! Now, back to why this is important.
Online sales are very simple for us because everything is automated on our wordpress website www.streetworthyapparel.com. A customer logs in, makes a purchase, and we send them the product. Most importantly, their sweepstakes entries (which is what everyone cares most about) are automatically awarded, and kept track of, on their user account page of the website, which they can reference back to at any time they wish.
So whats the problem? Well, the problem is when we do in-person sales at different car-shows and events around the country. The "in-person" sale isn't made through our website (we use a point-of-sale software called "square" found on [login to view URL]), and it makes things a lot more difficult for us to give each new "in-person" customer a personalized login to their user account page on our website, and award the correct number of sweepstakes entries based on their purchase. So what do we need done? This process needs to be automated completely!
This means that when an "in-person" transaction is made, we need a number of things to automatically happen, namely:
For NEW customers:
- A new online user account will be automatically created for the new customer on our website at www.streetworthyapparel.com.
- Sweepstakes entries will be awarded to this newly created user account in accordance with the value of the purchase: every $5 spent = 1 sweepstakes entry.
- After payment verification/ the end of a transaction (whether payment is made with a card or with cash) the customer will instantly receive a customizable Email AND SMS (text message) with their new user account login information, as well as the number of awarded sweepstakes entries (that they just earned with that purchase) displayed.
For RETURNING customers:
- No need for a new user account.
- Newly awarded sweepstakes entries (because of purchase) will be automatically reconciled with current sweepstakes entries on the customer's online user account to reflect the new total.
- Send a customizable Email and SMS (text message) solely stating the number of newly earned sweepstakes entries, and the new total number of sweepstakes entries to-date.
For PAST customers:
We have previous "new in-person customers" from past events who do not yet have online user accounts with their recorded sweepstakes entries based on their past purchases. We would like to retro-activate these customers with the same workflow as stated for NEW customers. The means by which this process is accomplished doesn't matter to us as the number of customers is relatively small.
