Small business on a budget is looking for a website developer or a team of developers to code a complex quote and order processing system for our company in the promotional merchandise industry. Most of the design and all the graphics will be given to you. I expect you to read the project description thoroughly, make sure you understand it and that you can deliver it. I am looking for someone with good knowledge of website design, php, ajax and javascript. What we do: We sell printed promotional items like mugs, pens, etc. to companies. Companies ask us for quotes, samples, we get them from our suppliers, and provide this to our clients – there is usually a lot of chasing, negotiations, etc. involved so we need a system that will help us be on top of all this and give us alerts about when to call our clients. When an order is placed we sometimes take payment in advance, sometimes not, and all this has to be accounted for in the software, then we need to establish layout of the artwork, print the items and send it to our clients. There is a lot of these issues and the software will have to make all these easier. What will be provided: Suppliers and Products and Clients have been designed and only need coding – we have sets of html pages prepared to visualise how the dynamic pages should work together with comments. The other areas will need to be designed based on existing areas and I will help with this. We will also provide all graphics and support should you need additional comments. We've also created a detailed list of databases with tables and fields of what is going to be needed. We now need a developer to code it into a working application. We will provide all graphics and icons needed as well as detailed description of what we expect each page to look like and what it should do. We will also need re-coding of our existing website so that it integrates well and loads faster. The design of it will not change at all. Workflow: We would like to see how the work is progressing and be in contact with the programmer ideally every weekday. One person will communicate with you between 6-9pm London time and you should be available. We would contact you through Skype and expect you to upload the website online (may be on your server) for us to see how it's coming along and how it's working. The features/areas of the system will include: 1. Home. Listing things to do (based on communications/actions set during workflow, e.g. call someone, chase something, send something, etc.). 2. Products. Each product will include around 30 different features, such as description, colours, sizes, print areas, prices, suppliers, etc. Some of these are stored in other tables with many-to-many relationships. Products should be easily searchable and editable and we should be able to add new products. 3. Suppliers. Add, edit and remove functions. When we look at supplier's details we'll also see all orders, invoices, and communications we've had with them. 4. Leads and Clients. Leads become clients once they place an order. A system to prohibit duplicate entries and to allow merging leads/clients together. Add, edit, and remove functions with details of all communication, quotes, orders and invoices. Option to filter list of leads/clients to all/current and of a particular user (account manager). Ability to add actions to leads/clients to record/plan communication. 5. Quotes. Filters to see all quotes or just current quotes, or just quotes of a particular user (account manager). When quotes are entered prices should be calculated automatically based on figures provided for unit prices, minimum margins and profits. Option to create order/job/invoice from quote. Ability to add actions in reference to quotes, e.g. to record or plan communication with client, to say we've sent a sample, etc. Ability to send quotes to clients' email using a template. 6. Jobs. Jobs are orders placed by clients. Ability to record progress of each job and set actions to do. Ability to send invoices, purchase orders by email. 7. Invoices. Shows all invoices and purchase invoices. These are automatically created from orders. Ability to record payments in and out. 8. Settings. Add standard product features as well as other ‘select lists' (e.g. title options, available lead times, etc.). Set which areas of the system are available to each user. Add/edit/remove users. Set VAT value(s). Might be more or change. Payment: I will not be paying anything extra on top of what you bid now so bid carefully – if you have questions that might change your price – ask now. Also we are a small business so bid accordingly. The project will be divided into milestones and partial payment will be completed after each area has been uploaded onto our server and tested.
