Custom Programming Back Office Portal
our company prepares and handles statements for small to medium
companies that need to send hundreds to thousands of statements each month.
our mission is to rebuild our current back office portal with a solution that will more reliable
and created with up to date technology. Security is a must in all steps!
we need a secure area where we are able to pass documents securely through our website to
multiple FTP servers. The customer logs in and uploads files, once they submit the file,
it is sent by FTP to both the Service Center and the Back up Service Center Location
specified for each client.
These transactions must be transferred in a user friendly screen(s) while being HIPAA Compliant.
Admin Section - Contol panel for the administrator
Customer – Add/edit/delete customer. we will assign a service center and back up
service center location for each customer. we will be able to add up to 6 users
for each customer with individual passwords for each user, the login will be the
same. Once we add a new customer, the customer receives a welcome email
with their username and password.
Service Center – Add/edit/delete a service
center. When we add a service center, we will input the ftp username,
password and IP address, contact info with up to 6 emails.
Reports – Upload/View -This is where the administrator will be able to upload reports
back to the customer. we will first select the Service Center, then the customer
account, upload the file and a generic email will be sent to ALL contacts in the
customer file. History shows on the customer page the files uploaded in the past
120 days (customer will login and download the file).

Customer Login – Individual user logins for each customer
Upload File – This is where the customer can upload multiple files – there will be a
warning if the customer is uploading a file with the exact same name and size as
one previously uploaded. They will receive a warning with an option to continue
and overwrite the file or cancel. -Once the customer successfully uploads their
files an email notification goes to ALL contacts (the service center, back up and
customer). Each filename will automatically change to include a time stamp.
File Management History – Below should show the history of the files uploaded in
the past 120 days. File Name, Description, Upload Date/Time, User (that
uploaded the file), File Size – (This can be displayed by each field, example if
you click on the header File Name it will show all the files in alphabetical order.
This will apply to each header field.)
Reports – This is where the client will download the report. It will also show a history
of the files from the last 120 days. Prior reports will automatically be deleted.
