PROJECT OVERVIEW: • DEFINITION: INCENTIVE TRIPS ARE HOSPITALITY VISITS TO OVERSEAS WINERY ESTATES (ITALY AND NEW ZEALAND) THAT ARE AWARDED TO CWUS EMPLOYEES AND DISTRIBUTORS WHOM HAVE MET OR EXCEEDED SALES GOALS AND OBJECTIVES • PROJECT PURPOSE: TO CREATE AN INTERNAL WEBSITE FOR A MORE EFFICIENT AND EFFECTIVE WAY OF MANAGING THE LOGISTICS OF PLANNING OVERSEAS INCENTIVE TRIPS • SCOPE: 14 TRIPS TO ITALY PER YEAR WITH 11 PEOPLE PER TRIP; 5 TRIPS TO NZ PER YEAR WITH 25 PEOPLE PER TRIP • OBJECTIVES • Design a simple website (5 pages) to: a. Capture attendee registration information (on-line form): name, contact info, passport number, etc. b. Capture Trip information: Trip number, Attendees, Incentive Goal, Purpose: education or incentive, GL code (budget), etc. c. Download function to aggregate attendee registration info (excel spreadsheet?) to send to team in Italy/NZ d. House Agenda/ Itinerary and FAQ’s e. Create a space for sharing photos and posts f. Track metrics and create a reporting function: who went where, etc. g. Generate internal support, buy-in, and enthusiasm for incentive trips h. Look and feel: modern, clean, simple- branded with winery logo and photos • CONSIDERATIONS: a. Potential to add additional countries in the future- Spain, Argentina, Germany, etc. b. Autonomy to change out content and photos- without having to go through web designer i. Perhaps a “skeleton” form that we can customize for different trips c. Possible web based calendar for shared viewing of trip dates w/ U.S. and other countries d. Where is the data housed? For how long will we be able to access the data? Example: can we run reports to see who went to Italy in the last 5 yrs? e. Potential for wine maker travel management- for discussion.
