I need an Access database built!
Overview:
I work for a county in Texas. One of my main duties is to keep track of when and where District Attorney files go out, to whom they go out to, and when they come back into my possession. Basically, I need a tracking system that I can also enter new data into on a daily basis. Every morning, I have a stack of request sheets from different DA secretaries. On each request sheet is a cause number and the defendant's name. I pull these requested records and send them to the requester. I have an Excel spreadsheet right now to keep track of these records, but the data is constantly growing.
Current Excel Setup:
I have two Excel documents; one for Misdemeanors and one for Felonies.
Felonies:
CauseNumber DefendantFristName DefendantLastName DateOut RequestedBy DateIn

Misdemeanors:
CauseNumber DefendantFirstName DefendantLastName DateOut RequestedBy DateIn

Each year has its own sheet within the Excel document. The first two digits in the CauseNumber represents the year. If the CauseNumber ends in a number, it’s a misdemeanor. If the CauseNumber ends in a letter, it’s a felony.
Cases come in daily. Some have never been to the warehouse (where I am located), so when I enter them into the Excel spreadsheet, it’s a new record. If this is a file that went out to someone, then the date out and the name of the requester is already entered. I just add the DateIn record.
Some things to know:
A CauseNumber can have many defendants.
A defendant can have many CauseNumbers associated with their name.
I need to answer the following questions:
-Who has the file?
-When did the file go out?
-When did the file come in?
-Is this file a Multi-File? (Explained below)
-Which files are out to (particular secretary)?
Multi-File
A multi-file is a file (cause number) that is too large to fit in the box that it’s supposed to be in. I store these in a different location. I simply just need a field that specifies whether or not this file is a multi-file. The location of the multis can stay on an Excel spreadsheet.
The only table that I do have is the Secretary Table:

I have been racking my brain for the last couple of months trying to get this database started. I have gotten further than I would have ever imagined but when it came time to run a query, I realized that I had failed. I have started from scratch trying to properly relate the tables but I am stumped. BAD. I need a pro.
